Engineering Program Recruiter

The Department of Engineering at Union University in Jackson, Tennessee, seeks to contract with an individual to promote the department’s BSE program to prospective students across the state and the region on an as-needed basis. The position would be ideal for an active retiree with a flexible schedule who is interested in encouraging young people to pursue a career as an engineer. The recruiter will be considered an adjunct member of the Department of Engineering and will receive a stipend equivalent to a one-course teaching assignment per fall and spring semesters. Qualifications include an engineering degree and/or experience in engineering practice, excellent communication skills, and the ability to organize meetings and promotional events

Part-time Secretary – Art Department

Position Description: Serve as part-time secretary to the Chair of the Department of Art, working 20 hours per week during the academic school year (mid-August through mid-May). Specifically, the responsibilities of the position are as follows:

  • Perform general clerical work, including word processing, compilation of various department data and statistics, filing, and assisting with correspondence.
  • Assist in the art student recruitment process. Coordinate hospitality for visiting prospective students and family members.
  • Assist the Art Department Chair in making housing and hospitality arrangements for guest artists.
  • Serve as Art Department Receptionist. Answer phones and provide assistance to callers to the extent possible. Direct callers to appropriate help as needed.
  • Assist the Art Department Chair coordinating activities.
  • Assist with the coordination of the art gallery, including set up of shows and publicity.
  • Coordinate day-to-day tasks of the Art Department office.

Minimum Qualifications: The successful candidate will have strong relational and organizational skills; practical knowledge of WORD, EXCEL, and other office technology, and must be able to handle confidential material, work in a fast paced college environment, and follow directions with minimum guidelines and supervision. Residence Life Secretary (Part-time)

This part time (up to 24 hours per week, up to 47 weeks per year) position is a vital part of the Student Life team, and provides support for the co-curricular programs of Union University. Specifically, the Student Life secretary will primarily assist the Director of Residence Life and assist with other Student Life divisions as needed. Responsibilities include, but are not limited to:

Residence Life (primary responsibilities)

  • Serve as receptionist to the office of Residence Life by greeting visitors, warmly providing information, and directing visitors to other personnel as needed.
  • Process and maintain database of incoming students’ housing deposits and Residence Life Applications as they are received from Enrollment Services.
  • Collect monthly reports from Residence Directors; compile the Residence Life monthly report and forward to the Dean of Students’ Administrative Assistant.
  • Compile quarterly and annual reports for Residence Life.
  • Help prepare for and facilitate the Residence Life aspect of Preview Day, New Student Registration (in June), Freshmen move-in day, and the Residence Life orientation meeting (in August).
  • Oversee Warmath Family Housing initial inquiries, tours, applications and check-in procedures. Prepare quarterly Warmath Family Housing flyer.
  • Create, update/modify and order Residence Life forms and closing information flyers.
  • Prepare reports and correspondence as directed.
  • Create and update Residence Life Bulletin Board.
  • Compile list of groups’/individuals’ Requests for Early Arrival (before Residence Complexes open).
  • Assist with housing assignments.
  • Work with enrollment office to arrange housing for Spring Thing prospective students.

Student Life Team Assistance

  • Helps coordinate Day of Remembrance Service projects (schools), Martin Luther King Day service projects, Career U, and transfer orientation events.
  • Provide office support to customers when Administrative Assistant is at lunch or out of the office so the office is covered at all times.

General Duties

  • Answer incoming calls and relay them to the appropriate office if there are further questions
  • Prepare requisitions for Residence Life needs
  • Distribute mail to directors
  • Inventory and order forms for Residence Life
  • Arrange meeting times/confirmation
  • Other duties as assigned

Assistant Director of Career Services

The Assistant Director of Career Services will report to the Assistant Dean of Students/Director of Career Services within the division of Student Services, in performing the functions of marketing, counseling, workshops, and other needs within the department. The purpose of the Career Services Office is to help students understand more clearly who God has made them to be and assist them in discovering the opportunities in this world to live out their uniqueness. He/she will administer the following responsibilities:

Career Development Responsibilities:

  • Effectively market all career services offerings to students and alumni, and assist with the coordination of all offerings
  • Serve as direct supervisor for 5-7 student workers and SLA workers.
  • Counsel/advise freshmen, sophomore, and junior students and maintain information regarding shared informed in online career counseling and résumé database.
  • Counsel students and facilitate specialized programs in the areas of career planning, graduate school exploration, and career development and conduct résumé and cover letter critiques as needed.
  • Coordinate the collection, posting, and notification of all full- and part time employment data, as well as internships, and maintain accurate records for reporting.
  • Manage the Career Resource Library and resources including the computer testing system and upgrading and assist in maintaining the Union University Career Services Web site.
  • Assist in the development of various office publications as well as write and edit career guidelines for specific departments: business, education, nursing, etc.
  • Develop and present workshops on subjects such as careers in student services, resume writing, interviewing techniques, business etiquette and finding employment using the Internet.
  • Plan and implement fall Career Development fair, Career University, and successfully market the event to students/alumni and presenting employers.
  • Assist in the planning of career fairs (the Job Market and the Teacher Expo), on campus interviews, grad school expos, etc.
  • Administer personality tests via computerized testing system and forward data to counselor and director.
  • Assume leadership of the office in the absence of the Assistant Dean of Students/Director of Career Services.
  • Additional responsibilities in the development of new services and programs as determined by a growing career services office.
  • Be an active member of the student life team and participate in campus wide student life activities as needed (e.g. orientation, graduation, pre-registration).

On-Campus Servant Leadership Award Responsibilities:

  • Administer the Servant Leadership Award (SLA) Program and serve as a liaison among departments and appropriate administrative offices regarding the SLA. Assist all departments in developing the number of available student positions.
  • Act as a liaison for students participating in the Servant Leadership Award program as well as provide individual counseling for such students.
  • Collect, develop, and maintain a database of information relating to the Servant Leadership Award and disseminate information through such methods as assignment forms, newsletters, flyers, emails, etc.
  • Serve as a resource to students, faculty, staff, and administrators regarding policies and procedures governing the Servant Leadership Award.
  • Coordinate the process for assigning students to campus departments.
  • Prepare and maintain manuals/handbooks on the Servant Leadership Award.

Qualifications:

Bachelor's degree with prior work experience in student leadership, marketing, human resources, job placement or higher education administration is required. A Master's degree in an appropriate field is preferred.

Career Services Secretary/Events Coordinator (Part-time)

Qualifications:
Associate Degree or higher preferred; previous experience as an administrative assistant helpful. Must have excellent communications and computer skills, especially in the MS Office Suite of programs, with a functional knowledge of data base maintenance (editing, updating, queries, and reporting), and prior experience in Internet research and Web site navigation. Must be personable and outgoing with a strong ability to follow through on tasks in a timely manner. Successful candidates must be professing Christians who are active members of a local Christian church; articulate a Christian worldview in their work and life; and enthusiastically support Union University’s Identity, Mission, and Core Values (www.uu.edu).

Responsibilities:

  • Serve as receptionist to the Career Services Department, greeting visitors, answering and directing incoming calls professionally and efficiently, and providing information and directing visitors to other personnel as needed
  • Assist the Director and Assistant Director of Career Services in preparation and performance of functions of the department including: student assistance, workshops, testing, internships, on-campus recruiting, event planning, and making referrals
  • Proofread resumes
  • Assist clients with use of Resource Center materials and technology
  • Produce bulk mailings, and do follow-up work for Career Fairs
  • Assist in scheduling, planning, and production of Career Services special events and workshops
  • Assist in writing, editing, and layout of newsletters, employment postings, fliers, and other promotional pieces and supervise production
  • Train, schedule, and supervise student workers
  • Web site maintenance, Internet research, E-mail, PowerPoint presentations, and other computer reporting and data collection
  • Maintain appointment calendars and schedules for directors
  • Prepare requisitions for office supplies, equipment, etc.
  • Prepare reports and correspondence, mail pick-up and distribution, and other clerical duties
  • Monitor departmental budget
  • Other duties as assigned by Director and Assistant Director of the Department

Work Schedule:

This employee will work approximately 20 hours a week, Monday through Thursday, for 42 weeks a year, being off mid-December through mid-January (4 weeks), Spring Break (1 week), mid-July through mid-August (4 weeks), and Thanksgiving (1 week).
