Migration to Microsoft OneDrive - Employees

We're migrating employees' individual file storage (G drives) to Microsoft OneDrive For Business.

  • By mid-January 2020, all staff members will be migrated to OneDrive.
  • By mid-February 2020, all faculty members will be migrated to OneDrive.
  • All new employees are set up from the beginning on OneDrive.

How do I get it? Storage space on a G drive has been provided for each employee.
(Note: New employees hired after September 2019 will be set up from the beginning on OneDrive.)
A brief IT session is required to ensure proper computer setup for all your OneDrive resources. You'll be contacted as we work through the list of all employees.
What's stored and backed up? All files on your G drive are stored on the UU network and are backed up by IT.

Using a Mac? The G drive is the network storage space known by your username. If your name were George P. Burdell and your username were gburdell, all the files in your gburdell network space are being backed up.

Files stored on your hard drive (Windows/Mac Desktop, Documents, Pictures, etc.) are not being backed up, so do that periodically.
All the files that have been stored on your G drive (Windows and Mac) and all Windows Desktop/Documents/Pictures files will be stored in the OneDrive cloud and backed up by Microsoft's secure services.

If you have other Windows/Mac files on your hard drive, you can back them up on OneDrive periodically after you've been set up.
How much storage space does each employee get? Union provides 10 gigabytes for your individual G drive. Microsoft currently provides five terabytes for each employee's files (G drive; Windows Desktop, Documents, Pictures), 500 times more than you have now.
How do I access network files using my office computer? Create/save/open files on your G drive using Word, Excel, etc.

You can also use Windows' File Explorer or Mac OS X's Finder. (If you're not sure how to access your network storage space, contact IT Help below.)
This works the same. Look in the 'OneDrive - Union University' area you'll see. (On a Mac, you'll see the OneDrive folder on your desktop.) Here's an example of what you would see using Windows File Explorer.

How do I access my network files through the internet? (including when I'm teaching on a classroom PC) Your G drive, your department/area's T drive, and the all-employee I (Public) drive are available at files.uu.edu

After you sign in, you'll see 'Home Drive' and 'Teams'. Open the Home Drive folder for your G drive files. The T (departmental) drive and the I (public) drive are in the Teams folder.
There are two ways to access your OneDrive using the internet
- mail.uu.edu
- office.uu.edu
(You'll still need to use files.uu.edu to access the T and I drives.)

After your sign in, click the the app grid at the top left and then select OneDrive.



How do I access my network files using a mobile device? There is no app to access the UU network. Go to files.uu.edu above using your mobile device's browser. Install the OneDrive app for your Android or Apple iOS device(s). The videos linked above this table explain mobile use.





How do I access my network files when I'll be offline, without internet service? Before leaving, copy the file to your laptop, thumb drive, etc. each time you need it for offline use.

If you make changes, remember to re-copy the file manually back to your G drive.
If you need to keep a specific file on your device (and also stored on OneDrive), select the settings for the file (e.g., right-click in Windows File Explorer) and choose (depending on the device) 'Always keep on this device' or 'Make Available Offline' or a similarly-worded option.

You'll be able to view/change the file when you're offline. When you reconnect to the internet, the file will automatically be updated centrally into OneDrive.
How do I share my OneDrive files with others? (Not applicable) If you're using a Windows laptop/computer, in File Explorer control-click on the file/folder and select Share. You'll see this dialog box.


If needed, click 'Anyone with the link can edit' to see more options to restrict who can use the link, whether they can edit, etc.
